From document to completion

Electronic signature features for everyday team agreements.

Prepare a document, request the right signatures and follow its progress in one place. Naxas Sign brings document preparation and signing together, with team plans based on document volume.

Prepare the document and its fields

Upload a PDF or Word file

Bring an existing PDF or DOCX into the signing workflow. Place signature, initials, date and text fields where they belong, and assign the fields to the appropriate signer. Review the document and field placement before sending.

Write and reuse documents

The in-app document writer lets you start from a template and edit your document before field placement. Reusable templates save fields and roles for documents your team sends repeatedly, such as a standard proposal or form.

A template is a starting point. Review its wording and details for each agreement rather than assuming every previous term still applies.

Coordinate the people signing

Signing order

Set the order when people need to sign in sequence. For example, an agreement may need your team's signature before the client signs. Map each person's role and fields before sending so the intended sequence is clear.

Reminders and expiry dates

Automatic reminders and expiry dates help you manage outstanding requests. Choose settings that fit the agreement's timeline, and check progress before following up separately with a recipient.

Guest signing

Recipients can open the signing link from their email and follow the requested verification steps. Guests can sign without creating an account, including from a phone or laptop. The workflow includes one-time email verification.

Document status

See who has viewed and signed a document as the request progresses. That gives the sender a clearer basis for follow-up than relying on a sent email alone.

Keep the completed document and its record

Completed documents include a signed PDF and signing certificate. The audit trail records document activity, and a completed document can be verified in the signing app. Keep the completed files together so the agreement and its associated record are easy to find later.

The certificate and activity history are useful parts of the workflow. They do not replace reviewing the document's terms, confirming who should sign, or checking any special requirements for the agreement you are making.

Choose the features your team needs

Paid launch plans include unlimited users and defined monthly document allowances. Startup lists templates, the document writer, an audit trail and certificate. Small Business adds custom branding and email templates. Enterprise adds priority support and API access.

Compare the complete pricing and plan limits, including monthly prices and yearly totals. Contact our team to confirm availability and activation, especially if your workflow depends on a particular branding option or API integration.

Check the workflow before adopting it

Start with one representative document and list the people who prepare, send and sign it. Confirm the fields you need, whether a signing order is necessary, and how your team will retain completed files. A simple signature-request checklist helps you review these details consistently.

If several colleagues send occasional agreements, the small-business workflow explains how to choose around document volume as well as team size.

Discuss your requirements

Bring an example of your signing process.

Tell our team the types of documents you send, how many people take part and your expected monthly volume. We can help you confirm the relevant plan and activation steps.
